The portfolio, on the record.

NexaPMO ranks every investment before it is funded, records who decided and why, tracks the money and the plan while it is spent, and measures the value after. One record runs from the business case to the balance sheet.

For PMO leads, finance directors and transformation executives.

NexaPMO portfolio home: 12 projects, 5 need attention, 3 decisions waiting, with status counts, forecast at completion and benefits measured.
The portfolio home in a demonstration workspace.

Four stages, one record

Large ERP suites split this across several products and an integration programme. NexaPMO is one journey, and the same figure is read at every stage.

Plan

What could we do, and what is each option worth?

  • Ideas ranked on value against ability to deliver
  • Ranking profiles for commercial, public-sector and regulated organisations
  • NPV, payback and cash flows for every case
  • Must-dos funded first, the rest ranked

Decide

What will we fund, and who said so?

  • Gate decisions by named authorities with limits
  • Approve, reject, return for resubmission or defer to a later month
  • A reason from your own list for every outcome except approval
  • Nobody approves their own project

Deliver

Where is the project, and what does it cost?

  • A working plan against an accepted baseline
  • A short weekly update on the days the PMO sets
  • Budget, committed, actual and forecast per project
  • Capex and opex per line; labour split across several assets

Realise

Did the value arrive?

  • Approved, forecast and measured kept as three views
  • Seven realisation patterns, each with its own arithmetic
  • Disbenefits counted as costs, never as progress
  • Measurement continues after the project closes

PMO and executives

Rank the ideas before anything is funded

Every idea competes for the same envelope. Must-dos take their share first; the rest is ranked on strategic value against ability to deliver.

  • Choose the weight on financial return within the range your profile allows
  • See which ideas moved since the last review
  • Compare the result under a different ranking profile
Investment ranking: 9 ideas compete for £12m, with must-dos funded first and a quadrant of value against ability to deliver.

What it refuses to do

Most portfolio tools are judged by what they can do. A system of record is judged by what it will not. These are built in and tested, not configured.

Promote a project because a meeting note says "approved"

A project is approved when an approval is recorded against it by an authority. Until then it reads "Awaiting decision".

Let anyone approve their own project

The initiator and the manager never decide on their own project. The PMO routes and records; it does not approve or fund on permission alone.

Send work back without saying why

Rejecting, returning or deferring needs a reason from the workspace's own list and a comment. Over time, those reasons show the PMO where coaching is needed.

Fall back to the forecast when nothing was measured

Realised means measured. With no measurement, every screen prints "Not measured" in those words rather than a reassuring number.

Rewrite a figure that has been reported

Weekly records, budgets and measurements are added to, never overwritten. A correction names the record it corrects, so an issued board pack stays explicable.

Write a slide the records do not support

Every board pack is computed once into a fixed snapshot and the slides read only that. Titles are arithmetic with a sentence around them, never a guessed cause.

Built to be checked

These are facts about the product as it stands, not claims about outcomes.

18,000+
automated checks run before every release, including isolation between customers and approval routing
300
browser tests that click through real journeys for every role before a release
15
guided journeys inside the product that show each role its own work, step by step
0
pictures in a generated board pack: every chart is native, editable PowerPoint, traceable to its data

Four people, one record

Each role sees the same figures through its own screens. Nobody re-keys anything for somebody else.

What did we approve, and what is it costing?

The budget, what is committed, what is spent and the forecast, side by side and never netted. Capital work in progress assessed line by line, with the basis kept.

Security, stated plainly

What is built and running today, and what comes next. We don't display a certificate until it has been awarded.

In the product today

  • Two-step sign-in with authenticator secrets encrypted at rest.
  • Session control with an idle timeout your administrator sets, and "sign out other sessions" for every user.
  • A tamper-evident audit trail in which every entry is chained to the one before, so a change to history is detected.
  • Access enforced on the server by role and scope, with segregation of duties: nobody approves their own work.
  • Uploads checked by their contents rather than their file name, with unsafe types refused.
  • Hosted in the EU with nightly offsite backups.

Next

  • Independent penetration test by an accredited firm.
  • Cyber Essentials certification.
  • Single sign-on validated with Microsoft Entra ID.
  • ISO 27001 certification.

Aiden proposes. A person decides.

Aiden, our private AI model, reads supplier invoices and the spreadsheets you already keep, and proposes how they map into NexaPMO. Every proposal waits in a review queue, and nothing reaches the record until somebody accepts it under their own name.

Aiden runs on NexaPMO's own servers in the EU, never on a third-party AI service, and your data is never used to train it without your written agreement. Financial arithmetic stays in tested application code: the model proposes; it never computes a total or approves a budget. Aiden is being introduced to early-access workspaces first.
